Job Description
We have a rare opportunity for an highly experienced and proactive administration professional to provide full administrative support to our Structured Transactions and Advisory Services (STAS) team based in our Auckland office. We are flexible in offering this role in a full time or part time capacity.
STAS provide independent advice to clients involved in property development, typically acting for land owners and structuring transactions to deliver large master planned developments. They also provide general advisory on a range of property related issues to both institutional and private investors. Reporting to the National Director, some key responsibilities will include;
  • To provide full administrative and secretarial support to the STAS team
  • Draft, review and prepare correspondence, reports, presentations and other documentation
  • Prepare minutes from meetings, documents from dictation, copy type and e-mail
  • Process invoices and prepare monthly expense reconciliations
  • Liaise with internal and external clients
  • Coordinate marketing for sale campaigns
  • Diary management for the team
  • Organise meetings and client activities
  • Database updating and maintenance
  • Ad hoc office and administration support as required
To be successful in this position you must be able to demonstrate significant experience in a similar role. You will be advanced in core Microsoft packages (Word and Powerpoint ) and ideally intermediate-advanced in InDesign in addition to having strong organisational skills, excellent time management, high attention to detail and the ability to manage workflow and meet multiple deadlines. You must be client focused with the ability to build strong relationships with both external clients and internal staff alike. A high level of spelling and grammar, fast accurate typing ability and a flexible approach to work and adapt to a changing environment are essential.
